How To Request A Work-Study Position:

1.Determine position title and wage from the Student Employment Wage and Classifications Guidelines.

2. Submit your request either on-line or by mail: Click here to submit your request for a work-study position online

OR

Print, complete, and mail the Student Employee Job Description Form to Karen Roland, Office of Student Financial Services, University Center Room 212 to request your position.

The position will be posted online for students. Students may choose where and with whom they wish to interview.

When a decision has been made to hire, the department must notify Karen Roland and the Office of Student Financial Services, requesting the student by name and social security number. Students being requested must verify their eligibility and complete required paperwork before employment can begin.

Departments may advertise openings in their area, keeping in mind that any student candidates for employment must verify their eligibility with the Office of Student Financial Services.

Evaluations

Supervisors are required to submit a periodic performance evaluation on each work-study student via the Work-Study Evaluation Form Attachment A, or use the link on this page). Generally, evaluations should be done on an annual basis; however, should a student’s employment be terminated, an evaluation form must be submitted to the Office of Student Financial Services to be retained in the student's file.

The evaluation form must be filled out each semester the student is employed. It is recommended for supervisors to discuss each evaluation with the work-study student(s).

Work-Study Terminations and Grievance Procedures:

Normal Annual Termination:

A work-study student is automatically terminated from the Work-Study Program on the last date of eligible employment as determined on the Statement of understanding, which is signed upon hire. Students are not allowed to work through the Summer term unless granted special permission by the Office of Student Financial Services. If the student wishes to reestablish eligibility he or she must complete the most recent Free Application for Federal Student Aid (applications are available online or in the Office of Student Financial Services after January 1st of each year).

Voluntary Termination:

A work-study student may terminate his or her work assignment by notifying both the Office of Student Financial Services and direct supervisor. Two weeks' notice is suggested.

Involuntary Termination:

A student may be terminated from a work-study position and possibly from the entire Federal Work-Study Program. Reasons for involuntary termination may include but are not limited to: repeated failure to comply with agreed work schedule, unwillingness to accomplish assigned tasks, and insubordination or lack of cooperation which results in disruption to other workers or work progress.

Act Fairly:

• Check to see that the employee knew and understood the rule that was violated.
• Find out if there were any circumstances beyond the employee's control that affected the employee's actions.

A first violation a rule the supervisor should act promptly after a violation occurs by expressing a verbal warning:
A) Alert the employee to the existence and B) Demonstrate the supervisor's commitment to enforcing rules
C) Allow employee to respond
D) Develop an agreement on how to correct the behavior

Document what rule was violated, when it happened, and what action was taken and when.

A second violation of a rule when steps have already been taken for a first violation, or the violation is serious enough to skip the first step:

A) Follow a verbal warning for the same or similar violation
B) Emphasize the seriousness of the violation

Written Description of violation including the date the verbal warning occurred; notification of termination should be mailed to the student and a copy sent to the Office of Student Financial Services to be retained in the student's file.

Supervisors

An employer has the right to dismiss a student for unsatisfactory performance. A Work-Study Employee Evaluation Form must be submitted to the Office of Student Financial Services with all such terminations.

When a student is dismissed from an assignment, the Financial Aid Administrator will determine whether the student should be given a different assignment or if the termination is permanent.
